Special Provisions for the KITE Meeting Minutes AI Application

This Addendum establishes the specific protocols governing the collection, processing, and management of personal information and related data within the KITE Meeting Minutes AI Application (hereinafter referred to as the Application) provided by N&I Systems Co., Ltd., in direct alignment with the Company’s primary Privacy Policy (hereinafter referred to as the Basic Policy).

In the event of any discrepancy, ambiguity, or conflict between the provisions of the Basic Policy and this Addendum, the terms of this Addendum shall take precedence exclusively regarding the operations of the Application, provided they do not subvert the foundational principles of the Basic Policy.

The Application collects and processes the following data categories:
- Audio Infrastructure Data: Meeting voice recordings provisioned in .m4a format.
- AI-Generated Artifacts: Text transcripts and automated summaries synthesized directly from the processed audio streams.
- Salesforce Integration Datasets: Opportunity IDs, client account names, contact person names, and operational activity records utilized for CRM synchronization.
- Identity and Authentication Data: User-authentication credentials routed securely via Salesforce and AWS Cognito platforms.

This compiled data infrastructure may contain personally identifiable information, including individual names, corporate titles, and specific spoken remarks.

2. Specific Purposes of Utilization

The Company utilizes the acquired data strictly for the following restricted purposes:
- Automated generation of structured meeting minutes and synthesized executive summaries.
- Seamless operational data synchronization and pipeline integration with Salesforce environments.
- Continuous application-feature optimization and technical troubleshooting, executed exclusively through thoroughly aggregated and anonymized datasets from which individual identity reconstruction is completely impossible.

3. Engagement of Third-Party and External Services

To ensure high-performance service delivery, the Company utilizes enterprise-grade third-party infrastructure:
- Amazon Web Services (AWS): Serving as the core secure data-storage and processing cloud infrastructure.
- OpenAI API: Utilized strictly for natural-language summarization processing.
- Salesforce: Utilized for advanced synchronization with corporate sales activity pipelines.

The Company executes stringent data-protection agreements with these enterprise providers, ensuring rigorous security safeguards are maintained. Data transmitted to the OpenAI API is strictly limited to the absolute minimum necessary for text-summarization execution and is contractually guaranteed never to be utilized for model training, algorithmic optimization, or secondary corporate utilization by OpenAI.

4. Rigorous Security Measures

To enforce absolute data security, the Company implements the following advanced technical controls:
- Comprehensive encryption of all data in transit utilizing industry-standard HTTPS and TLS protocols.
- Robust identity-authentication and granular access-authorization management powered by AWS Cognito.
- Continuous generation and systematic periodic audits of detailed access logs and security-compliance logs.

5. Cross-Border Data Transfers

Depending on the deployment topology and regional routing of the cloud-based infrastructure utilized, cross-border data transfers may occur. In such events, the Company strictly adheres to Sections 2 and 3 of the Basic Policy by thoroughly evaluating the personal data protection legal frameworks of the recipient jurisdiction and implementing mandatory contractual guarantees alongside advanced security safeguards.
