These Special Provisions set forth the handling of personal information and other data in the “Minutes Generation AI App (KITE)” (hereinafter referred to as “the App”) provided by N&I Systems Co., Ltd., in accordance with the company’s Privacy Policy (hereinafter referred to as the “Basic Policy”). In the event of any conflict between the Basic Policy and these Special Provisions, these Special Provisions shall take precedence to the extent that they do not conflict with the principles of the Basic Policy.

This app collects the following information:
● Audio data (meeting recordings: m4a)
● Transcripts and summaries generated from the audio
● Opportunity IDs, account names, contact names, and activity record information used for Salesforce integration
● ID information for user authentication (via Salesforce and AWS Cognito)
This information may include personally identifiable information, such as names and the content of remarks.

The information we collect will be used solely for the following purposes:
● Automatic generation of meeting minutes and summaries
● Integration of operational data with Salesforce
● Feature improvements and bug fixes (using data that has been aggregated and anonymized so that individuals cannot be identified)

We use the following third-party services to provide this app:
● AWS (Amazon Web Services): Data storage and processing infrastructure
● OpenAI: Summarization processing (via API)
● Salesforce: Integration with sales activity data
We have entered into appropriate contracts with these providers and handle information after implementing security measures. Data sent to OpenAI’s API is limited to the minimum information necessary for summarization processing and will not be used for the company’s training purposes or other such purposes.

To ensure the security of the information we collect, we have implemented the following measures:
● Communication encryption (HTTPS/TLS)
● Authentication and authorization management (AWS Cognito)
● Collection and regular review of access logs and audit logs

Depending on the location of the cloud servers we use, data may be transferred overseas. In such cases, in accordance with Sections 2 and 3 of our Basic Policy, we will verify the personal information protection systems in place at the destination and implement appropriate contractual and security measures.
